Job Description
Responsibilities:
- Answer telephone, give information to callers, take messages, or transfer calls to appropriate individuals.
- Greet visitors and callers, handle their inquiries, and direct them to the appropriate person.
- Arrange conferences, meetings, and travel reservations for department personnel.
- Coordinate and collect financial transaction documents needed by the immediate supervisor.
- Compose, type, and distribute meeting notes, routine correspondence, and reports.
- Locate and attach appropriate files to incoming correspondence requiring replies.
- Handle mail transmittal of information and documents.
- Submit daily accomplishment report to the immediate supervisor.
- Perform other job-related duties as assigned.
Qualifications:
- Preferably 1-4 years experienced employee specialized in Secretarial/Executive & Personal Assistant or equivalent roles.
- Preferably possesses a background in finance work, such as bookkeeping.
- Strong analytical and planning skills.
- Good communication and presentation skills.
- Excellent problem-solving skills.
- Experienced with analyzing data and reports, filing documents, working within a fast-paced environment, managing heavy workloads, and working with others.
- Experienced and knowledgeable with MS Office, Google Suite, and Zoom software.
- Ideally has experience with e-filing of documents and data.
Preferred Courses:
- Finance, Business Administration, Business Management, and other similar management- or finance-based programs.
Schedule:
- Monday – Thursday: 9:00 am – 6:30 pm
- Friday: 9:00 am – 7:00 pm
