We are currently seeking a detail-oriented and dedicated Accounting Specialist to join our finance team and help manage our financial operations with precision and efficiency.

Job Description:

The Accounting Specialist will be responsible for various accounting duties including bank and credit card transaction postings, assisting with reconciliations, accounts payable processing, and supporting month-end financial statement preparation. The ideal candidate will have a keen eye for detail, strong organizational skills, and the ability to work effectively in a fast-paced environment.

Key Responsibilities:

·Transaction Posting:

o Post all bank and credit card transactions, including PayPal, accurately and timely.

· Reconciliation and Revenue Recording:

o Assist with reconciling LMS data to deposits and payment processing platform transactions.

o Record revenue in QuickBooks Online (QBO) once data becomes available.

· Accounts Payable Processing:

o Process weekly accounts payable, ensuring compliance with W9 requirements.

o Set up new vendors and code bills/vendor credits appropriately.

o Prepare invoices and vendor credits for approval by Wednesday each week.

o Ensure workflow approval by IEC is completed by end of day Friday each week.

o Research and resolve issues related to accounts payable.

o Ensure proper support and documentation for all transactions.

· Accounts Payable Processing

o Prepare invoices, as needed, including calculating and verifying amounts, classifying revenue, posting to accounting system, and sending to customers.

o Process incoming payments and ensure proper application to open invoices on customer accounts.

o Research discrepancies to resolve clients’ billing issues.

o Facilitate payment of invoices due by sending bill reminders.

o Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.

· Court Diversion Fees:

o Upload court diversion fees to QBO weekly.

o Enter court diversion fees into the state court website weekly.

· Monthly Duties:

o Perform monthly bank and credit card account reconciliations.

o Create invoices in QBO based on LMS data.

o Assist with the preparation of month-end financial statements.

· Collaboration:

o Assist the Supervisor and Manager in implementing directives to enhance team performance and customer satisfaction.

Qualifications:

· Bachelor’s degree in Accounting, Finance, or a related field.

· Minimum of 2-3 years of experience in accounting or a similar role.

· Proficiency in QuickBooks Online (QBO) and Microsoft Excel.

· Strong understanding of accounting principles and practices.

· Excellent organizational and time-management skills.

· Attention to detail and high level of accuracy.

· Ability to work independently and as part of a team.

· Effective communication skills, both written and verbal.
