Job Description
Responsibilities:
- Responsible for the control of incoming and outgoing documents for easy retrieval;
- Responsible for monitoring, validating, updating, and archiving of all records;
- Monitor and keep track of all document submittals, especially those that require immediate response or action;
- Notify and cascade to the project team all updated document versions;
- Act as Submittal Manager in the implementation of AP process for NON/PO Based Billing transaction of the project using OnBase/ Procore/ myEsas/ assistMe system (receiving, creating, and processing);
- Direct coordination and communication with the project team department and subcontractors thru emails and phone calls regarding document issues and concerns;
- Submit and validate the Procore Tools Utilization of the project based on the actual activities of the project sites;
- Monitors documents being routed using digital system approval as well as the actual consumption and usage of the project team, if necessary;
- Participate in every internal/ external audit being conducted on the project as scheduled. Check the response documents by each department/ project team;
- Assist Project Team with their documents needed such as RFA, specification, work request, IFC/ FCD, Site Instruction, Construction Bulletin, SCA, and the like;
- Provides input on ISO/ DMS and Corporate initiatives assigned by their respective Senior Document Controller;
- Perform other related tasks that may be assigned from time to time.
