Job Description
The position shall report directly to the CEO and will have duties as follows:
- Coordinate executive communications, including taking calls, responding to emails.
- Schedule meetings and appointments and manage travel itineraries.
- Coordinate travel arrangements; prepare itineraries; prepare, compile and maintain travel vouchers and records.
- Book flight schedules for the CEO and other members of the team.
- Arrange meetings with contractors/subcontractors and officers.
- Prepare meeting minutes.
- Alert CEO about cancellations or new meetings.
- Schedule meetings and arrange conference rooms.
- Maintain an organized filing system of hard copies and electronic documents.
- Uphold a strict level of confidentiality.
- Manage personal/private matters with high confidentiality.
- Develop and sustain a level of professionalism among staff.
- Coordinate office management activities.
- Determine matters of top priority and handle accordingly.
- Relay directives, instructions, and assignments to executives.
- Receive and relay telephone messages.
QUALIFICATIONS:
- Graduate of any Business/Management/Secretarial courses.
- Preferably with a minimum of 2 years of professional experience as an Executive Assistant reporting directly to the CEO.
- Solid experience in office management systems, including above-average proficiency in MS Office or other organizational tools.
- Excellent verbal and written communication skills, with the ability to compose effective and powerful correspondences.
- Proficiency in collaboration and delegation of duties.
- Experienced in exercising discretion and handling confidential and sensitive company and customer information.
- Background in handling contract agreements with suppliers and brand ambassadors is an advantage.
- Can work independently, think proactively, and value timelines and deadlines.
Job Type: Full-time
Salary: Php25,00.00 – Php35,00.00 per month
