Job Description

DUTIES AND RESPONSIBILITIES:

Time and Task Management:

  • Organize daily tasks using Notion to-do lists synchronized with the calendar.
  • Prioritize and manage daily activities to optimize productivity and efficiency.

Real Estate Production Management:

  • Follow up with clients using established systems and communication channels.
  • Utilize CRM to put together property searches and ensure clients’ needs are met.
  • Prepare and execute drip campaigns to maintain client engagement.

Property Showings Coordination:

  • Schedule property showings with interested parties using designated tools.
  • Coordinate showings with sellers, sellers’ agents, and other relevant parties.
  • Add confirmed showings (tours) to the calendar once arrangements are finalized.

Transaction Follow-up:

  • Follow up on transactions after offers are accepted to ensure a smooth process.
  • Communicate with all parties involved to address any concerns and facilitate progress.

QUALIFICATIONS:

  • Proven experience as an administrative assistant, preferably in real estate.
  • Proficient in using Notion, calendar management tools, and CRM systems.
  • Strong organizational skills with an ability to prioritize tasks effectively.
  • Excellent communication and follow-up skills.
  • Familiarity with real estate processes and terminology.
  • Detail-oriented and capable of maintaining accurate records.
  • Ability to coordinate activities involving multiple parties.
  • Proactive problem-solving and decision-making abilities.

ADDITIONAL SKILLS (PREFERRED):

  • Experience with real estate CRM Tools.
  • Knowledge of drip campaign strategies.
  • Familiarity with real estate scheduling tools.
