Job Description

Responsibilities:

  • Answer telephone, give information to callers, take messages, or transfer calls to appropriate individuals.
  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate person.
  • Arrange conferences, meetings, and travel reservations for department personnel.
  • Coordinate and collect financial transaction documents needed by the immediate supervisor.
  • Compose, type, and distribute meeting notes, routine correspondence, and reports.
  • Locate and attach appropriate files to incoming correspondence requiring replies.
  • Handle mail transmittal of information and documents.
  • Submit daily accomplishment report to the immediate supervisor.
  • Perform other job-related duties as assigned.

Qualifications:

  • Preferably 1-4 years experienced employee specialized in Secretarial/Executive & Personal Assistant or equivalent roles.
  • Preferably possesses a background in finance work, such as bookkeeping.
  • Strong analytical and planning skills.
  • Good communication and presentation skills.
  • Excellent problem-solving skills.
  • Experienced with analyzing data and reports, filing documents, working within a fast-paced environment, managing heavy workloads, and working with others.
  • Experienced and knowledgeable with MS Office, Google Suite, and Zoom software.
  • Ideally has experience with e-filing of documents and data.

Preferred Courses:

  • Finance, Business Administration, Business Management, and other similar management- or finance-based programs.

Schedule:

  • Monday – Thursday: 9:00 am – 6:30 pm
  • Friday: 9:00 am – 7:00 pm

Job Type: Full-time
