Job Description

We are currently looking for a highly skilled and experienced Executive Secretary to join our team at Human Resource Solutions International – HRSI. As an Executive Secretary, you will play a crucial role in providing executive support to the management team and ensuring the smooth functioning of daily operations at a prestigious high-rise luxurious apartments complex. 1. Administrative Support:

  • Prepare and organize meetings, manage schedules, and appointments.
  • Coordinate and schedule meetings, appointments, and events.
  • Prepare meeting agendas, take minutes, and distribute relevant materials.
  • Handle incoming calls, emails, and other communications.
  • Maintain an organized filing system for documents and information.

2. Communication:

  • Draft and edit correspondence, reports, and other documents.
  • Act as a liaison between the executive and other staff members or external contacts.
  • Handle routine inquiries and provide information as needed.
  • Excellent verbal and written communication skills.

3. Technology Proficiency:

  • Utilize office software and tools for document preparation, scheduling, and communication.

4. Team Collaboration:

  • Collaborate with other administrative professionals to ensure the smooth functioning of the office.
  • Assist in training and mentoring junior administrative staff when necessary.

5. Flexibility:

  • Adapt to changing priorities and handle multiple tasks simultaneously.
  • Be available to handle urgent matters outside of regular working hours, if required.
  • Perform other duties as assigned.
