Job Description

The Junior Administrative Assistant will be responsible for providing general administrative support to the organization or department they are assigned to. They will assist in the smooth operation of daily activities and ensure that administrative tasks are completed accurately and efficiently.

Responsibilities

  • Perform general administrative tasks such as data entry, filing, photocopying, scanning, and managing documents.
  • Answer and direct phone calls, take messages, and handle inquiries in a professional and courteous manner.
  • Greet and assist visitors, ensuring they are welcomed and attended to promptly.
  • Schedule appointments, meetings, and conferences, and coordinate logistics such as room bookings and equipment setup.
  • Maintain and update internal databases, spreadsheets, and records.
  • Prepare and distribute correspondence, memos, reports, and other documents as required.
  • Assist with the coordination and execution of special events, including logistical arrangements and communications.
  • Collaborate with team members to ensure smooth workflow and provide support as needed.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.
  • Assist in the preparation of presentations, reports, and other materials.
  • Maintain office supplies and ensure inventory is stocked.
  • Follow organizational policies and procedures and maintain confidentiality of sensitive information.
  • Perform any other administrative tasks as assigned by supervisors or managers.

Qualifications

  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize tasks effectively.
  • Strong interpersonal skills and the ability to work well in a team environment.
