Key Responsibilities:

1. Administrative Support:

  – Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and arranging travel itineraries.

  – Screen and prioritize incoming communications, including emails, phone calls, and letters, and handle them appropriately.

2. Meeting Coordination:

  – Efficiently coordinate and schedule both internal and external meetings for the CEO, ensuring all necessary preparations are made in advance.

  – Prepare meeting agendas, take accurate meeting minutes, and distribute them to relevant stakeholders promptly.

3. Correspondence Management:

  – Draft, edit, and proofread correspondence, reports, and presentations on behalf of the CEO with meticulous attention to detail.

  – Maintain an organized filing system for important documents and correspondence to ensure easy accessibility.

4. Stakeholder Liaison:

  – Act as a primary point of contact between the CEO and internal teams, clients, and external partners, facilitating smooth communication and collaboration.

  – Address inquiries and requests from stakeholders promptly and professionally, providing timely responses or directing them to the appropriate channels.

5. Project Support:

  – Provide invaluable support to the CEO in managing various projects by tracking progress, coordinating activities, and ensuring deadlines are met consistently.

  – Conduct thorough research and gather pertinent information as needed to support decision-making processes and project planning efforts.

6. Confidentiality Management:

  – Handle confidential and sensitive information with the utmost discretion and integrity, maintaining strict confidentiality at all times.

7. Task Prioritization:

  – Skillfully prioritize tasks and requests based on their urgency and importance, ensuring optimal utilization of the CEO’s time and resources.

Requirements:

– Bachelor’s degree in Business Administration, Management, or a related field; Master’s degree preferred.

– Minimum of 1 years of experience in administrative or executive support roles.

– Exceptional organizational and time management abilities, coupled with a knack for multitasking and prioritizing effectively.

– Outstanding communication and interpersonal skills, characterized by a professional and courteous demeanor.

– Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

– Demonstrated discretion and confidentiality in handling sensitive information.

– Ability to thrive in a fast-paced and dynamic work environment, with a flexible and adaptable mindset.
