Job Summary: The Operations Manager will oversee the planning, execution, and delivery of all events, ensuring they meet our high standards and client expectations. This includes creating event layouts, developing estimates, managing vendors, and negotiating rates. The ideal candidate will have strong leadership skills, excellent organizational abilities, and a proven track record in event management.
Key Responsibilities:
1. Event Planning and Execution:
o Oversee the planning and execution of events from start to finish according to requirements, target audience, and objectives.
o Coordinate with clients to understand their needs and ensure their expectations are met.
o Develop and manage event timelines, budgets, and schedules.
o Ensure all logistics are handled, including venue selection, transportation, accommodation, and catering.
2. Team Management:
o Lead, mentor, and manage a team of event coordinators and support staff.
o Delegate tasks and responsibilities effectively to ensure smooth operations.
o Provide training and development opportunities for team members.
3. Vendor Management:
o Identify, negotiate, and manage relationships with vendors, suppliers, and contractors.
o Ensure all contractual obligations are met and maintain high standards of service delivery.
4. Quality Control:
o Implement and maintain high standards of quality control for all events.
o Conduct pre-event inspections and post-event evaluations to identify areas for improvement.
5. Client Relationship Management:
o Build and maintain strong relationships with clients, ensuring high levels of customer satisfaction.
o Handle client inquiries, feedback, and complaints professionally and promptly.
6. Financial Management:
o Develop and manage budgets for each event.
o Develop a financial proposal for the project aligned with the presentation and scope of work.
o To ensure competitive pricing, gather market research and solicit quotes from relevant vendors for each project element.
o Track expenses and ensure events are delivered within budget.
o Provide financial reports and updates to senior management.
7. Compliance and Safety:
o Ensure all events comply with legal, health, and safety regulations.
o Develop and implement risk management plans for each event.
Qualifications:
* Minimum Bachelor’s degree, Business Administration, or a related field.
* Minimum of 3 years of experience in event management, with at least 1 years in a leadership role.
* Strong organizational and multitasking skills.
* Excellent communication and interpersonal skills.
* Ability to work under pressure and meet tight deadlines.
* Proficiency in event management software and Microsoft Office Suite.
* Knowledge of the local market and industry trends in Pakistan.
* Fluent in English and Urdu; additional languages are a plus.
