Personal Assistant to Chief Operating Officer (COO)
Job Summary: We are seeking a highly organized and proactive individual to serve as a Personal Assistant to our Chief Operating Officer (COO). The ideal candidate will provide comprehensive administrative and executive support to ensure the efficient operation of the COO’s office. This role requires impeccable time management, exceptional communication skills, and the ability to handle confidential information with discretion. The Personal Assistant will act as a gatekeeper, managing the COO’s schedule, coordinating meetings, and handling correspondence. This position offers the opportunity to work closely with senior leadership in a dynamic and fast-paced environment.
Key Responsibilities:
- Calendar Management: Coordinate and manage the COO’s schedule, including scheduling meetings, appointments, and travel arrangements.
- Communication: Act as the primary point of contact for internal and external communications, screening and prioritizing emails, phone calls, and other correspondence.
- Meeting Coordination: Prepare meeting agendas, materials, and presentations. Attend meetings, take minutes, and follow up on action items as needed.
- Travel Arrangements: Arrange travel logistics, including flights, accommodations, and transportation, ensuring the COO’s itinerary is well-planned and organized.
- Administrative Support: Provide general administrative support, including drafting correspondence, preparing reports, and maintaining files and records.
- Information Management: Manage and organize confidential information with discretion, maintaining confidentiality at all times.
- Project Assistance: Assist the COO with special projects, research tasks, and other assignments as needed.
- Relationship Management: Build and maintain positive relationships with internal and external stakeholders, representing the COO’s office professionally and effectively.
- Prioritization: Anticipate the needs of the COO and proactively manage priorities to ensure deadlines are met and objectives are achieved.
- Ad Hoc Support: Provide additional support and assistance to the COO as required, demonstrating flexibility and adaptability in a dynamic work environment.
Qualifications:
- Proven experience as an executive assistant, personal assistant, or similar role supporting senior executives.
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong communication skills, both written and verbal, with excellent attention to detail.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Discretion and confidentiality when handling sensitive information.
- Ability to work independently with minimal supervision and collaborate effectively as part of a team.
- Professional demeanor and interpersonal skills, with the ability to interact confidently with individuals at all levels.
