Job Description
We are seeking a highly organized Receptionist/Administrative Assistant to join our team. As the first point of contact for our organization, you will play a crucial role in providing excellent customer service to visitors and ensuring the smooth operation of day-to-day office activities.
Primary Responsibilities:
- Greet and assist visitors with a friendly and professional demeanor
- Address and resolve visitor queries and problems promptly
- Manage security and telecommunications systems to ensure a secure and efficient workplace
- Respond to queries and complaints via phone, email, and general correspondence
- Ensure effective communication by taking and passing on messages to the appropriate staff members
- Coordinate and manage the availability of meeting rooms
- Receive, sort, distribute, and dispatch daily mail
- Handle transcription, printing, photocopying, and faxing
- Oversee office services, including cleaners and maintenance service providers
- Maintain safety and hygiene standards in the reception area
Secondary Responsibilities:
- Assist in handling travel and hotel arrangements for employees
- Provide support to the HR/Admin team in various areas
Qualifications:
- Proven experience in a receptionist or administrative role of 1-2 years
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Proficiency in MS Office (Word, Excel, Outlook)
- Knowledge of office management systems and procedures
