Job Description

We are seeking a highly organized Receptionist/Administrative Assistant to join our team. As the first point of contact for our organization, you will play a crucial role in providing excellent customer service to visitors and ensuring the smooth operation of day-to-day office activities.

Primary Responsibilities:

  • Greet and assist visitors with a friendly and professional demeanor
  • Address and resolve visitor queries and problems promptly
  • Manage security and telecommunications systems to ensure a secure and efficient workplace
  • Respond to queries and complaints via phone, email, and general correspondence
  • Ensure effective communication by taking and passing on messages to the appropriate staff members
  • Coordinate and manage the availability of meeting rooms
  • Receive, sort, distribute, and dispatch daily mail
  • Handle transcription, printing, photocopying, and faxing
  • Oversee office services, including cleaners and maintenance service providers
  • Maintain safety and hygiene standards in the reception area

Secondary Responsibilities:

  • Assist in handling travel and hotel arrangements for employees
  • Provide support to the HR/Admin team in various areas

Qualifications:

  • Proven experience in a receptionist or administrative role of 1-2 years
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Knowledge of office management systems and procedures
